They didn’t leave angry. They just stopped coming.

CustomerRetentionAI learns how often each customer usually comes in, notices when someone’s gone quiet longer than usual, and drafts a personal text inviting them back. You approve it before it sends.

Built for businesses that run on regulars

Your best customers don’t complain. They drift.

A new job, a busy season, a closer option. Nobody announces they’re leaving — the visits just spread out until they stop. By the time you notice, it’s been months. A friendly note at the right moment is often all it takes.

This uses CustomerRetentionAI’s actual scoring. 70 or higher gets flagged for a win-back text.

They come back. You see it.

When a flagged customer visits again within 14 days of your text, it’s counted as a comeback — with the money they spent. No guessing whether it worked.

Open-slot win-backs

When a PreventNoShows appointment is cancelled 2 to 72 hours ahead and your waitlist isn’t already covering it, CustomerRetentionAI picks opted-in regulars who are due and usually book that service, and texts them the opening. The first to tap gets it, and it’s booked into PreventNoShows. By default you tap Offer; automatic is a setting.

Early warning

A 1–2★ review, a complaint call, a no-show or a late cancel from your other FrontDesk Global products raises that customer’s warning, fading over 60 days. It suggests a personal call, never a coupon.

  • Uses your other FrontDesk Global products

“Why’d you drift?”

One text asks a quiet customer what kept them away: moved, price, last visit wasn’t great, busy, or other. “Moved” stops future texts, a bad visit goes privately to you by e-mail (never to a public review), and busy waits for their usual gap. At most once every 180 days.

  • Opted-in customers only

Replies inbox

Customer replies land in one inbox with an unread badge, next to the texts you sent. You can answer within 7 days of their message.

  • Included

Consent-first texting

No recorded opt-in, no text. Record how each customer agreed, or share your own sign-up page and printable QR code so customers opt themselves in. Texts go out between 8 a.m. and 9 p.m. your time, and STOP is honored for your business.

Win-back playbook

Six habits of businesses people keep coming back to.

Simple things that work with or without software. No signup needed.

01

Know everyone’s rhythm

“It’s been 3 months” means nothing for a twice-a-year client — and everything for a weekly one.

02

Reach out early

A note when someone’s a few weeks overdue lands better than one after they’ve found someone else.

03

Sound like yourself

Short, warm, first name, your business name. It should read like you typed it.

04

Keep the offer small

A modest thank-you says “we noticed.” A giant discount teaches people to wait for one.

05

Don’t pester

One message, then give it room. CustomerRetentionAI waits at least 21 days before trying again.

06

Only text people who said yes

Get permission to text, and honor STOP. Every CustomerRetentionAI text includes it.

Use cases

How owners use it.

Typical setups by industry. These describe how the product works, not results from named customers.

Barbers & salons

Someone who comes every three weeks and hasn’t been in for seven gets flagged, with a short note in your voice.

Cafés & bakeries

Connect Square. Regulars who stop showing up rise to the top of your list.

Pet groomers

Every-six-weeks clients are judged on their own rhythm, not a flat 60-day rule.

Fitness & studios

Members who drift get a personal check-in before they cancel, never a mass blast.

Auto service

Twice-a-year customers aren’t pestered; the overdue oil change is.

Spas & clinics

Drafts never mention balances or private details, and nothing sends until you approve it.

Pricing

One price. Everything included.

    FAQ

    Questions owners ask first.

A woman reading a message on her phone
Still have a question?Email [email protected] — a real person answers.
How does it decide who has gone quiet?

It learns each customer’s own rhythm from their visit history. Someone who usually comes every 3 weeks and hasn’t been in for 9 is flagged; someone who comes twice a year isn’t. Customers with 5 or more visits count most, and you can mark high-value customers so they’re prioritized.

Does anything send without my OK?

Not unless you turn on auto-send. Approval mode is the default: the text is drafted and waits for you. There’s also a manual-only mode.

How do my customers and visits get in?

Connect Stripe (with a read-only key) or Square in Integrations and your customers and payments come in automatically, then sync every night. You can also import past visits from a spreadsheet (CSV) or add customers by hand. Mindbody, Vagaro and other systems aren’t connected yet.

    What do the texts say?

A short, personal note using the customer’s first name and your business name, usually with a small offer like a percentage off the next visit. It never mentions internal data like scores, and always ends with “Reply STOP to opt out.”

    Will customers feel pestered?

Each customer gets at most one win-back text every 21 days, and only when they’re truly overdue for them. Nothing goes out before 8 a.m. or after 9 p.m. your time, and anyone who replies STOP gets no more texts from your business unless they reply START.

Do I need permission to text my customers?

Yes, and CustomerRetentionAI enforces it: no recorded opt-in, no text. Mark how each customer agreed (paper form, online checkbox, keyword and so on), or share your own sign-up page and printable QR code so customers opt themselves in. Customers without an opt-in are still flagged, so you can call them or ask them to sign up.

How do I know it’s working?

If a flagged customer comes back within 14 days of your text, it’s counted as a comeback with the amount they spent. Your dashboard shows comebacks, recovered revenue and your recovery rate each month.

How many texts can I send?

50 texts a day per location are included (10 a day during the free trial). Need more? Add a text pack or turn on pay-as-you-go from your billing page.

Can I cancel? Are there contracts?

No contracts and no setup fees, and a 30-day money-back guarantee on your first paid month. Cancel from your dashboard anytime, in two clicks.

    What does it cost?

$99 per month per location, after a 14-day free trial (card required; no charge until day 15). Or pay yearly: $990 a year, which is 2 months free. No setup fees, no contract, and a 30-day money-back guarantee on your first paid month. Bundles that include it: FrontDesk Complete $549/mo. More than one location? 20% off locations 2–5 and 30% off 6 and up: email [email protected] and we’ll set it up.

    What is the Founding 50?

Our first 50 businesses pay $79 a month instead of $99 and get a setup call with Joshua. The offer ends December 31, 2026 or when the 50 seats are taken, whichever comes first. Your founding price stays the same while your subscription stays active on the same or a higher plan. It covers the plan as it is today, including its minutes and texts. Canceling, or a lapse of more than 30 days, ends it. Not combined with annual billing.

Do I need hundreds of customers for this to work?

No. It judges each regular against their own history once it can see their rhythm, usually after about four visits. Newer customers (one to four visits) are checked against your business’s usual return gap and flagged when they’re well past it (at least 45 days). For comparison, Klaviyo’s predicted-next-order feature needs 500+ customers who have ordered and 180+ days of history.

    Can it fill cancelled appointments?

Yes, with PreventNoShows on the same account. When a booking is cancelled 2 to 72 hours ahead and your waitlist isn’t covering it, CustomerRetentionAI texts the opening to a few opted-in regulars who are due; the first to tap gets it and it’s booked into PreventNoShows.

    What’s the free report?

A free tool at app.frontdeskglobal.com/cra/free-report: drop in a CSV of customer visits and see who’s gone quiet. The file is analysed in your browser and never uploaded. No signup.
